Customer Service Coordinator


QUALIFICATIONS
Previous experience with MS Excel and MS word (including basic formatting & formulas).
Must have computer experience using AS400 or similar, and current Windows version.
Experience with EDI, DDL, international customs and logistics would be an asset.
Previous business education / experience and / or customer service / inside sales experience, preferably in a Tier I automotive environment.
Must have excellent communication and organizational skills.
Must be able to work flexible hours, including weekends (as overtime may be necessary).

DUTIES AND RESPONSIBILITIES
Prepares all shipment invoices including production and other requirements.
Sends “Advance Shipment Notifications” (ASN’s) within time allotted after shipment leaves dock.
Maintains contact with customers to ensure that all shipment / ASN requirements are achieved.
Coordinates shipping documents / requirements with shipper(s).
Maintains accurate records of ASN’s, invoices, and routine communications.
Receives customer requirements using appropriate method (DDL, EDI, other) and ensures accurate entry.
Works out routine shipping problems with customers.
Informs supervision/management when customer on-time delivery is, or may be jeopardized.
Checks and confirms DDL / EDI messages at required intervals.
Communicates (immediately) any fluctuation / deviation in established schedule to supervisor.
Maintains specific job procedures for various customers as required.
Maintains ‘Ship To’ files and records as required and enters customer orders.
Issues daily / weekly shipping schedules and documents detailed analysis on short shipped parts.
Ensures monthly updates to customer delivery performance graphs.
Resolves routine cum discrepancies and submits documentation for cum adjustments.
Verifies shipment demand report for 100% accuracy and provides revisions by noon on Mondays.
Resolves daily EDI transmission errors; keeps Material Control Manager informed of ongoing errors.
Reviews and reports to appropriate personnel any increases or decreases in requirements that are received after shipment demand input has been distributed.
Provides information regarding shutdown, holidays, volume changes, window times, or any other customer information that may affect production schedules to appropriate personnel.
Coordinates engineering changes with Pre-Production Planner and Customer.
Prepares and distributes 3 month forecast.
